The Role:

The Head of Digital Workplace Optimisation is a newly established leadership role within Medibank’s Enterprise Technology Services team, created to strengthen strategic oversight, performance management, financial management and operational alignment across the digital workplace ecosystem. This role is responsible for leading performance across digital workplace initiatives, including project delivery, release coordination, communications and reporting. It also serves as Enterprise Technology Services’ representative to Enterprise Delivery forums such as Genius Bar and QP to ensure accurate capacity planning, and forecasting, ensuring alignment with enterprise goals and user experience outcomes.

 

With accountability for ETS budgets, cost and license optimisation, and performance tracking through OKRs, KRIs, and vendor SLAs, the role plays a critical part in ensuring transparency, efficiency, and continuous improvement across workplace operations.The Squad Lead Digital Workplace Optimisation will oversee the operating rhythm for ETS to set and report on OKRs and execute effective retrospectives to drive continuous improvement.

 

As a member of the ETS leadership team, the Squad Lead Digital Workplace Optimisation will collaborate closely with internal stakeholders and external partners to drive strategic value and measurable impact across Medibank’s digital workplace landscape.

 

This is a 12 month fixed-term contract with a view to extension pending project timelines and continuous developments within Medibank.

 

The Responsibilities:

  • Define and execute performance management for digital workplace initiatives.
  • Design, implement and execute a system of work to integrate ETS delivery teams into the broader enterprise delivery framework ensuring quality delivery coordinated prioritization, forecasting and capacity planning
  • Lead planning and coordination of digital workplace releases and communications Drive continuous improvement through performance metrics and stakeholder feedback.
  • This role is accountable for managing the backlog of ETS work, ensuring tasks are accurately captured, assessed, and prioritized in alignment with strategic objectives and operational needs. It includes regular reporting on backlog status, progress, and trends to key stakeholders, and facilitating prioritisation discussions to support informed decision-making and efficient resource allocation
  • Represent ETS on steering committees where there are digital workplace initiatives/resources engaged.
  • Oversee license and entitlement management across workplace technologies.
  • Manage ETS budgets, cost optimisation, and license utilisation.
  • Coordinate reporting and communications across ETS functions.
  • Monitor and publish OKRs, KRIs, and vendor SLAs to ensure accountability and transparency.
  • Establish and maintain governance processes for digital workplace operations as defined by D&T Governance team.
  • Ensure compliance with internal policies, regulatory requirements, and contractual obligations.
  • Collaborate with Risk, Compliance, and Finance teams to manage controls and reporting
  • Build strong relationships across ETS, business units, and vendor partners.
  • Influence decision-making through insights, reporting, and strategic communications.
  • Actively participate in the ETS Leadership Team and cross-functional forums.
  • Accountable for ETS governance budget and cost optimisation initiatives.
  • Track and report financial performance across digital workplace programs.
  • Lead a small team and collaborate with cross-functional delivery teams.
  • Promote a culture of accountability, innovation, and continuous improvement.
  • Coach and mentor team members to build governance and performance capabilities.

 

About You:

  • 10+ years in IT performance, project delivery/PMO or digital workplace operations within complex enterprise environments.
  • 5+ years in leadership roles overseeing cross-functional technology programs, reporting, and vendor management.
  • Demonstrated extensive experience in using the Atlassian suite of tools to manage and deliver technology work programs, with moderate experience in administering these tools to support workflow configuration, user access, and reporting.
  • Proven experience managing digital workplace projects, including prioritisation, forecasting and communications.
  • Proven experience in setting and tracking OKRs including the use of retrospectives as a tool to deliver continuous improvement
  • Proven experience in managing technical work programs using agile methodologies.
  • Demonstrated success in license and entitlement management, with a focus on cost optimisation and compliance.
  • Experience leading budget planning and financial tracking across technology portfolios.
  • Strong understanding of OKRs, KRIs, and SLA frameworks, with experience in performance tracking and reporting.
  • Familiarity with ITSM and service delivery models, including collaboration with operational leads.
  • Experience managing vendor relationships, including contract negotiation and service performance oversight.
  • Proficiency in reporting tools and dashboards for technology performance and financial metrics.
  • Understanding of digital workplace technologies, licensing models, and forecasting practices.
  • Ability to interpret and communicate complex data to drive strategic decision-making.
  • Proven ability to lead and mentor team members
  • Strong stakeholder engagement and influencing skills across business and technology teams.
  • Experience working within cross-functional leadership teams to align governance with operational delivery.
